Element AMS

Common Questions to ask When Evaluating a New AMS

When midsize and large professional associations need a new Association Management System (AMS), they ask important questions. These questions help them determine if the AMS meets their needs. Here are some of the key questions they consider:

Needs Assessment

The evaluation process typically begins with a needs assessment. These questions are often asked by the consulting or software team. They help you find the right technology for your organization’s needs

  • What are the specific pain points or inefficiencies in your current AMS? (e.g., manual processes, data silos).
  • What features are essential for our association’s operations, such as membership management, event planning, or financial tracking?
  • How well does the AMS support our unique association’s functions (e.g., chapters, certifications, online communities)?

Integration and Scalability

  • Can the AMS integrate seamlessly with our existing systems like Learning Management Systems (LMS), accounting software, or CRM tools?
  • Are all the systems we have in place currently still needed if we use new software? Can we cut down on tech overlap and save money in the long term?
  • Is the system scalable to accommodate future growth in membership or services at a low cost?

User Experience

  • How user-friendly is the AMS for staff and members? Can it simplify daily tasks and improve workflows?
  • What is the quality of member-facing touchpoints (e.g., portals, mobile experience)? Are they attractive and functional?

Vendor Evaluation

  • What is the vendor’s track record with associations of similar size and complexity?
  • How responsive is the vendor’s support team, and what service level agreements are offered?
  • Does the vendor have experience working with other technology partners for integrations?

Data and Reporting

  • Does the AMS provide robust reporting tools that allow us to easily analyze and visualize member data?
  • How reliable is the system in terms of data accuracy and analytics capabilities?

Implementation and Training

  • What is the estimated timeline and cost for implementation, including data migration?
  • What training resources are available for staff and members to ensure smooth adoption?

Budget Considerations

  • What is the total cost of ownership, including upfront investment, ongoing maintenance, and potential upgrades?
  • Are there options to customize features within our budget constraints?

Member Feedback

  • What do members frequently request or complain about regarding our current system?
  • How can the new AMS enhance member engagement and affirm membership value?

These questions help associations align their AMS selection with their goals. This ensures they choose a system that meets their needs and member expectations.
